Position Overview

MOTUS Consult is seeking a strategic and adaptable Operations/HR Lead to join our growing firm. This is an intermediate managerial role designed for a professional ready to take ownership of operational excellence and people management. While you'll initially support day-to-day administrative functions, the core purpose of this role is to develop and implement systems, processes, and HR practices that scale with our growth.

This position offers a clear trajectory toward senior leadership in operations and human resources. We're looking for someone who can balance hands-on execution with strategic thinking—someone who sees administrative tasks as opportunities to build better systems, not just check boxes.

Reporting directly to the Principals, you'll work collaboratively across all three offices (BC, Alberta, and Ontario) to standardize operations, strengthen our culture, and ensure our team has the support and structure needed to thrive.

Key Responsibilities

1. Operations Management & Process Development

  • Design, implement, and continuously improve operational workflows and administrative systems across the firm
  • Oversee project administrative processes including invoicing, collections, project databases, and documentation standards
  • Manage and optimize digital systems including file management, project tracking, and internal communications
  • Coordinate cross-office administrative functions to ensure consistency and efficiency
  • Identify operational bottlenecks and develop solutions to enhance productivity
  • Establish and monitor key performance metrics for administrative and operational functions
  • Manage vendor relationships and negotiate contracts for office services and supplies

2. Human Resources Leadership

  • Lead the full employee lifecycle from recruitment to offboarding, including:
    • Developing job descriptions and managing the hiring process
    • Coordinating comprehensive onboarding programs
    • Supporting performance management and professional development initiatives
    • Managing employee relations and workplace culture initiatives
  • Develop and maintain HR policies, procedures, and employee handbook
  • Ensure compliance with employment standards and workplace regulations across all provinces
  • Coordinate employee benefits administration and liaising with providers
  • Implement and manage HR systems and employee records
  • Foster a positive, inclusive workplace culture aligned with company values
  • Support succession planning and talent development strategies

3. Team Leadership & Collaboration

  • Supervise and mentor administrative staff as the team grows
  • Coordinate and delegate administrative tasks across offices
  • Foster collaboration between technical staff and administrative functions
  • Lead by example in professionalism, organization, and proactive problem-solving

Qualifications

  • 2-5 years of progressive experience in operations, administration, or HR roles, preferably in professional services
  • Post-secondary education in Business Administration, Human Resources, or related field is an asset
  • Demonstrated ability to design and implement operational systems and processes
  • Strong understanding of HR best practices and employment law fundamentals
  • Exceptional organizational skills with ability to manage multiple priorities
  • Self-starter who proactively identifies problems and develops solutions
  • Strategic mindset combined with hands-on execution capability
  • Adaptable and comfortable with ambiguity in a growing organization
  • Strong interpersonal and communication skills at all levels
  • Detail-oriented with professional discretion for confidential information
  • Proficiency in Microsoft Office Suite and ability to learn new software platforms
  • Experience with CRM, project management, and document management systems preferred
  • Experience managing teams or working in multi-office/remote environments is an asset
